Overview tags eventually reach the end of their life and need to be replaced. You don't have to replace them all at once: work through your equipment one group at a time, using the same four steps on every asset. Each piece of equipment keeps its name and history.
1 Remove Take off the end-of-life tag. | 2 Mount Fasten the replacement tag. | 3 Commission Swap it onto the existing asset. | 4 Label Apply the commissioning sticker. |
TIP Not sure which tags need replacing? Run the Equipment Tag Age report to see each tag's age and warranty status. See Equipment Tag Age. |
Pick an easy group to start with, such as overflow or storm-response equipment, or one category such as air movers or dehumidifiers.
Equipment is always moving, so not every asset in a group will be in at once. Refresh each one as it cycles back through the warehouse.
When a group is done, move to the next category, location or team, using the same remove, mount, commission, label steps.
NOTE The commissioning sticker is how your team tracks progress. Refreshed equipment is easy to spot as the rest cycles back through. |
Remove the end-of-life tag. Then mount the replacement using the method that fits where the tag sits.
Some equipment needs the tag mounted inside the housing. Use four screws or rivets, check the manufacturer's guidance so you don't hit wiring or parts, and keep the QR label facing outward where it can be scanned.
Figure 1: Example of interior tag placement
Overview recommends four screws, one in each corner.
Hold the tag flat against the mounting surface with the label right-side up and facing out. Mark the mounting holes if needed.
Figure 2: Position the tag
Drive a screw through one corner mounting hole, holding the tag in place with your free hand.
Figures 3–4: Fasten the first corner
Fasten the diagonally opposite corner so the tag sits evenly and can't pivot, then fasten the other two corners.
Figures 5–6: Fasten the opposite corner
Finish by hand with the 5/16” nut driver until the fasteners are snug. Don't over-tighten, which can crack the mounting flange or strip the threads. The tag shouldn't move when you push on it, and the QR label should be clean and fully visible.

IMPORTANT Don't use zip ties, glue or epoxy. Screws hold securely and make the next replacement easier. |
Scan the new tag in the app and link it to the existing equipment record. The equipment keeps its name, details and history.
Enter your User Name and Password and tap Login.

On the home screen, tap Scan Tracker or Tag in the lower-right corner to open the camera.

Center the QR code inside the white frame. Use the zoom slider for small labels and the flash icon in low light. The app reads the Tag ID automatically.

The app shows Tag “[Tag ID]” is Unassigned. Assign it to an Asset? Tap Replace Existing Tag.

IMPORTANT Don’t tap Create New Asset or Associate with Asset. Create New Asset makes a duplicate record without the equipment’s history, and Associate with Asset is only for equipment that doesn’t have a tag yet. |
Choose the equipment this tag is replacing. The app asks you to confirm: Replace Tag “[old Tag ID]” with “[new Tag ID]” on “[equipment name]”? Check that the old Tag ID and equipment name are correct, then tap Yes.
Figure 13: Confirm the replacement and tap Yes
The equipment’s Details tab opens. Check that the Tag field now shows the new Tag ID. The equipment keeps its name, type, location and history.

NOTE You don't need to do anything with the old tag in the app. Overview decommissions the end-of-life tags for you as replacements are commissioned. |
Right after commissioning, apply a commissioning sticker to the equipment. It shows at a glance that the asset is done and prevents duplicate work.
As replacement tags are commissioned, the Overview team:
| Issue | What to Try |
|---|---|
| The app won't read the QR code | Clean the label, zoom in with the slider, and turn on the flash. |
| I tapped Create New Asset by mistake | Contact Tag Refresh Support with the Tag ID and equipment name so the duplicate can be merged. |
| I can't find the existing asset in the list | Search by its name as it appears in the portal. If it still isn't there, contact Tag Refresh Support. |
| The new tag doesn't show on the equipment | Open the equipment and check the Tag field on its Details tab. If it still shows the old Tag ID, scan the new tag and repeat the replacement. Contact support if it still doesn’t show. |
| The confirmation shows the wrong equipment or old Tag ID | Tap No, then select the correct equipment. |
